1. Policy Statement
MV Trans4mation is committed to fostering a safe, respectful, and inclusive environment for all participants, staff, volunteers, contractors, partners, and community members.
As a Registered Non-Profit Organization serving youth, seniors, and families, we maintain zero tolerance for harassment, discrimination, bullying, or intimidation in any form. Every individual has the right to be treated with dignity and respect.
2. Scope
This policy applies to:
- Employees and contractors
- Volunteers and facilitators
- Program participants (youth and seniors)
- Professional consultants and partners
- Board members
- Visitors and community collaborators
This policy applies during:
- On-site programs and sessions
- Off-site events and activities
- Virtual meetings or online programs
- Any work-related or program-related interaction
3. Definition of Harassment
Harassment is any unwelcome conduct, comment, gesture, or action that is known or ought reasonably to be known to be offensive, intimidating, humiliating, or degrading.
Harassment may be verbal, physical, psychological, written, or digital.
Examples include but are not limited to:
- Discriminatory remarks or jokes
- Intimidation or threats
- Bullying or repeated hostile behavior
- Unwanted physical contact
- Sexual harassment
- Offensive messages (including email or social media)
- Exclusion or targeting based on personal characteristics
4. Protected Grounds
In accordance with the Ontario Human Rights Code, harassment based on the following is strictly prohibited:
- Race
- Ancestry
- Place of origin
- Colour
- Ethnic origin
- Citizenship
- Creed (religion)
- Sex
- Sexual orientation
- Gender identity or gender expression
- Age
- Record of offences
- Marital status
- Family status
- Disability
5. Workplace & Program Violence
MV Trans4mation also prohibits:
- Physical aggression
- Threats of violence
- Intimidation
- Any behavior that compromises the safety of participants, staff, or volunteers
Any immediate safety concerns should be reported to program leadership or emergency services where appropriate.
6. Reporting a Concern
Anyone who experiences or witnesses harassment is encouraged to report the incident promptly.
Reports may be made to:
- Executive Director / Program Director
- Designated Board Representative
- Program Supervisor
Reports may be made verbally or in writing.
MV Trans4mation will:
- Take all complaints seriously
- Conduct a fair and timely review
- Maintain confidentiality to the extent possible
- Protect individuals from retaliation
7. Investigation Process
Upon receiving a complaint:
- The concern will be documented.
- An impartial review will be conducted.
- Relevant parties may be interviewed.
- Appropriate corrective action will be taken if necessary.
Possible outcomes may include:
- Mediation
- Education or training
- Written warning
- Suspension from programs
- Termination of employment or volunteer role
- Removal from participation
8. Protection from Retaliation
Retaliation against any individual who reports harassment in good faith or participates in an investigation is strictly prohibited. Any retaliatory behavior will result in disciplinary action.
9. Commitment to Prevention
MV Trans4mation is committed to proactive prevention through:
- Clear communication of expectations
- Structured facilitation and supervision
- Emotional safety protocols
- Inclusive participation practices
- Ongoing education and training
10. Policy Review
This policy will be reviewed annually and updated as needed to ensure compliance with applicable legislation and organizational values.
